Obtaining patient consent before using MBSPro is essential to ensure transparency and build trust 🤝. Our straightforward PDF consent form explains how MBSPro benefits your care, helps optimize Medicare rebates, and minimizes out-of-pocket costs—all while protecting your privacy 🔒.

The form also points to our privacy policy, detailing how your information is securely managed and used. By signing, you’re giving informed consent, knowing exactly how your data will be handled with the highest ethical standards 📑. Privacy and Security Overview

At MBSPro, we are committed to ensuring that all data associated with your consultation is handled securely and remains entirely within Australia. We operate in full compliance with the Australian Privacy Act 1988, and our systems follow security practices aligned with ISO 27001–certified infrastructure.


How MBSPro Protects Your Information

1. All Data Stays in Australia

MBSPro ensures that all data — including audio, transcription, documentation, and any personal information — is stored exclusively on Australian servers.


2. Immediate Audio Deletion

  • Consultation audio is recorded only to generate accurate clinical notes.

  • Audio is converted to text in real time and is permanently deleted immediately after transcription.

  • No audio is stored, retained, or accessible after deletion.


3. Short-Term Transcription Storage

  • Transcriptions, summaries and documentation are stored temporarily on encrypted Australian servers.

  • Transcriptions and consultation summaries are held securely up to 7 days, and can be deleted earlier at your doctor’s request.

  • MBSPro does not permanently store any clinical information.


4. No AI Model Training

MBSPro does not use any personal or clinical information for AI model training.
No external model providers receive any personal identifying information.
Only the text you or your doctor deliberately provide is processed.


5. Access to Non-Clinical Data Only (Billing Support)

To support accurate Medicare billing:

  • MBSPro securely accesses non-clinical information from Best Practice, such as previous Medicare item numbers and billing history.

  • This is used to help your doctor select appropriate Medicare items so you receive the maximum rebates you are entitled to.

  • MBSPro does not access clinical notes, medical history, medications, pathology, imaging, diagnoses, allergies, or any sensitive clinical data from Best Practice.

  • All accessed information remains stored only in Australia.


6. Strong Encryption & Security Controls

All information stored on MBSPro is protected using:

  • 256-bit encryption

  • Multi-factor authentication

  • Role-based access controls

  • Secure audit logging

  • Australian-hosted, ISO-aligned infrastructure

Only your treating clinician can access the information generated during your consultation.


Medicolegal Assurance:

MBSPro abides by medicolegal standards as outlined by various Medical Indemnity Offices such as MDA National, to guarantee complete medicolegal adherence. Their knowledge ensures the safe application of AI tools during consultations, positioning MBSPro as a trustworthy asset for practitioners.

Provided that proper consent is secured from the patient and their companions, MBSPro adheres completely to medicolegal standards.

To ensure a smooth process, MBSPro reminds you to obtain consent prior to each consultation, logging that it was received along with a timestamp.

MBSPro is relied upon in countless real-world consultations every day, with more than 99.5% of patients agreeing on the initial request. Along with verbal consent, you can also obtain written consent via your practice's registration form.

To enhance transparency, we offer a customisable A4 privacy notice that you can showcase in your practice. Patients are able to scan the QR code on the printout to view comprehensive details on how MBSPro protects their data through our Data Storage and Privacy page.
