Macros and Templates help you quickly organize your consults the way you prefer, with customizable AI-assisted summaries 🧠 that structure your consults to be efficient and MBS-compliant.
How They Work:
Macros: Type

Why Change My Note Type?

What is the SOAP Format?
The SOAP format is a structured approach to documenting patient encounters, ensuring clarity and completeness in medical notes. SOAP stands for Subjective, Objective, Assessment, and Plan.
Subjective: captures information shared by the patient, including their chief complaint, history of present illness, past medical history, current medications, and social and family history. The
Objective: records findings observed during the patient encounter, such as physical examination results, vital signs like blood pressure and heart rate, laboratory results, and imaging findings.
Assessment: synthesises the Subjective and Objective information to arrive at a diagnosis or clinical impression, integrating the patient’s symptoms and observed signs into a cohesive
Plan:
details the next steps, which may include additional testing or labs, prescriptions or treatment recommendations, referrals to specialists or other clinicians, and any follow-up instructions.

The preconsult feature allows patients to share their consult goals ahead of time, enhancing the efficiency and personalization of each visit. This can be done by:
Sending a Link via Text — Easily message the preconsult link through systems like HotDoc or Automed.
Displaying a QR Code in Your Waiting Room — Patients can scan the code and complete the preconsult form while they wait.

Medicare Eligibility Check

MBSPro can be used to perform an Eligibility Check for MBS items to help patients make informed decision on their treatment.
The purpose of this is that you can accurately assess whether a patient is eligible for certain items and provide informed financial consent on the cost of these items.
Follow these steps to conduct a check: Remember once you have performed an item number check you need to print out the report and give to the patient as well as put a record of the transaction in the patient file.
Patient medicare eligibiltiy check: Go to the MBS Planner on the right and click the Eligibility Check button 🔗.
Enter Patient and Provider Details: A pop-up screen will prompt you to input the patient's details along with your provider number.
Click Submit
Click submit to receive a statement of claim 🧾, showing the benefits payable. This lets you confirm if the patient is eligible for rebates on items like care plans and health assessments ✅ and what their out of pocket expenses would be if any.

Certain Medicare-related functionalities are not handled by MBSPro. These include:
Statement of Claim and Benefit & Lodgement Advice: MBSPro does not submit or manage claims. However, you can generate a printed disclaimer with OECW/ECM response information for patient communication. This statement of claim should be given to the patient and placed in your medical chart
Resubmission of Rejected Services: Claim resubmission is not part of MBSPro's functionality. Please reach out to your billing software provider directly
Reporting and Reconciliation: Financial reporting and claim reconciliation are not managed within MBSPro. MBS Pro Proda check only allows for informed financial consent of patients regarding item numbers
Services Australia requires us to provide the following definitions:
a. A Statement of Claim and Benefit is provided to the claimant when a Patient Claim has been lodged in real time, processed by the agency and a benefit amount returned to the claimant. b. A Lodgement Advice is provided to the claimant when a Patient Claim has been lodged in real time and referred to an agency operator for action.

Managing B2B Devices in PRODA for MBSPro
This guide explains how to register, activate, and manage Business-to-Business (B2B) devices in Provider Digital Access (PRODA). This device can then be activated via MBS Pro to be used in calls to the Health APIs.
Steps
Register for a PRODA Account
Register your organisation in PRODA
Add other members to your organisation for permissions
Register subsidiary organisation
Register a B2B device in PRODA
Active the device in MBSPro
Before you begin, note that only members with the Device-Management attribute can register and manage B2B devices. If you need help with managing members or delegating management attributes, please contact MBSPro.
Please Note, As MBSPro uses a shared Minor ID, MBSPro manage the organisations and devices. Steps 1-4 are left out here as it this is performed by MBSPro administrators.
Step 5: Register and Activate a B2B Device
Log in to PRODA.
Select Organisations.
Choose the organisation to which you want to register the B2B device.
In the B2B Devices section, select Register New B2B Device.
Enter a device name that is both descriptive and unique.
Optionally, add details in the Description field.
Select Register Device.
A Device Activation Code will be displayed, ensure you take a note of this.
To activate your device:
Provide the device name and code to MBSPro.
Remember that the device name and activation code are case sensitive.
Step 6 : Active the Device in MBS Pro
The activation of the device in MBSPro is achieved through an API call to the active device endpoint
Acquire a authentication token for MBSPro.
Call the Device Activation endpoint with the
device name
andactivation code
Once activated, the device remains active until it’s expiry date. When the device is coming to the end of it’s expiry date an email will be sent to MBSPro and the device can be re-activated using the API call.

FAQ and Ongoing Management Of Your B2B Device
Regenerate Activation Code:
If you lose the activation code or it expires, select Generate New Code in the device details
Reactivation:
If your device expires after six months, it will stop working with your service provider. Generate a new code to reactivate it. This is performed through the same API endpoint as the initial activation.
Notifications:
You will receive automated email notifications before the device expires.
Additional Actions:
You can:
Extend the expiry date,
Disable or remove a device,
View the device history, or
Assign device attributes if specific functions are required by the service provider.
If the device expires before the six-month period, contact your software developer or ICT manager.

Microphone Problem
Common microphone issues
Microphone Not Working?
Here’s a quick fix:
Check for Remote Server Environment Issues
The most common issue for microphones is due to your remote server environment, which is a common way Best Practice and Medical Director are run in Australian GP practices. Microphones are usually not enabled in the remote environment, which means you need to run them locally (i.e., open a browser on your PC/laptop before logging into remote desktop).
Check Your Mic Connection
Make sure your external microphone or headset is properly plugged in. Other issues can arise from having multiple microphones, usually due to having a webcam connected.
Allow Microphone Access in Chrome/your browser
Click the padlock 🔒 in the address bar.
Go to Site Settings > Microphone
Set it to Allow, then refresh the page.
Select the Right Mic on Your Computer
Windows: Settings > Sound > Input
Mac: System Preferences > Sound > Input
Choose your external mic.
Test It in MSB Pro
Otherwise, you can click in the top right hand corner of MBS Pro to see if your microphone is working.
Start voice recording.
If the button changes to “Speaking”, your mic is working.
Best practice waiting room not in sync
How to resync your waiting room and find patients
Waiting Room Not Syncing?
If the Waiting Room isn’t syncing properly with the BP Diary, follow these steps:
Log Out and Back In
Fully log out of MBSPro, then log back in to refresh your session.
Click “Sync” in the Waiting Room
This forces the system to update your current patient list. This can take 2-3 minutes as data is downloaded from BP. You can refresh you browser after this as well

Integration Fee
You’ll need to pay $15 for each account to activate BP integration.
This fee helps support an added layer of security for your clinical data.

Before integration is finalised, we will confirm your account with your Practice Manager to ensure accuracy and access permissions.

How do I reset my MBS Pro Password
Password reset instructions
Forgot your password? No problem — here’s how to reset it:
Head to our login page: https://app.mbspro.com.au/api/auth/login
On the login page, click “Forgot password?”
Enter your registered email address
Check your inbox for a password reset link
Follow the link and create a new password
Didn’t get the email?
Check your Spam or Promotions folder
Make sure you entered the correct email linked to your MBSPro account

How to copy notes into BP or MD
MBS Pro consult summary to BP
No — it’s still a manual copy and paste process.
Best Practice (BP) does not currently allow third-party platforms to save notes directly into their system. This limitation comes from BP, not MBSPro.
💡 Tip: Use a Browser Extension
If you don’t have a dual monitor, you can install a browser extension (like a window resizer, companion window or split-screen tool in Chrome) to keep MBSPro and BP visible side by side — making it easier to copy notes between systems.
